This Privacy Policy explains how Securio CRM collects, uses, stores, protects, and shares personal information when you use the Securio CRM web application and related services, in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA).

Company Information

Securio CRM is a product of Solaro Technologies LLC, Michigan, United States. Securio CRM provides CRM, sales workflow, campaign, scheduling, document, and AI-assisted productivity tools for security and commercial safety professionals operating in South Africa.

Information We Collect
  • •Account information such as name, email address, authentication details, and organization membership.
  • •Profile information such as role, team settings, preferences, and contact details you choose to provide.
  • •Project and CRM data including leads, contacts, activities, notes, campaigns, tasks, appointments, and pipeline information.
  • •Uploaded documents and images, including business cards, project files, bills, photos, and related metadata.
  • •AI prompts and responses submitted through Securio CRM AI-powered features, including enrichment, drafting, analysis, and workflow assistance.
  • •Device and browser information such as browser type, operating system, device type, IP-derived region, and session information.
  • •Analytics and diagnostic data such as feature usage, error reports, performance data, and audit logs used for security, reliability, and product improvement.
How We Use Information
  • •Provide, secure, operate, and improve the Securio CRM application.
  • •Authenticate users and maintain user sessions.
  • •Support CRM workflows, lead management, scheduling, communications, and team collaboration.
  • •Generate AI-assisted responses, summaries, recommendations, research, and drafts requested by users.
  • •Monitor performance, investigate errors, prevent abuse, and protect user and organization data.
  • •Communicate service updates, support messages, billing notices, and security alerts.
Lawful Basis for Processing (POPIA)

Securio CRM processes personal information in accordance with the Protection of Personal Information Act 4 of 2013 ("POPIA"). We process personal information where it is necessary to perform our contract with you or your organization, where you have consented, where processing is necessary for our legitimate business interests (such as security, fraud prevention, and service improvement) and does not override your rights, or where processing is required to comply with a legal obligation. Personal information is processed only for the specific, explicitly defined purposes described in this Policy, consistent with POPIA's purpose specification and processing limitation conditions.

AI Processing Disclosure

Securio CRM includes AI-powered features, including AskSecurio, lead and company research, drafting, summarization, image/document extraction, and workflow assistance. Securio CRM uses Base44’s built-in AI integration, and Base44 documentation identifies Anthropic, Google, and OpenAI as AI service providers for that integration. Depending on the feature requested, prompts, CRM context selected or entered by the user, lead and contact details, company names, addresses, websites, notes, campaign or email draft content, uploaded images, uploaded documents, and generated outputs may be processed by those providers to generate requested responses, summaries, recommendations, classifications, extractions, and drafts. Users should review AI-generated content before relying on it for business, legal, financial, or customer-facing decisions. Securio CRM does not claim that AI data is never retained, never used for training, or fully anonymized unless that is expressly confirmed by the applicable provider terms and Base44 configuration.

Data Storage and Security

In line with POPIA's security safeguards condition, Securio CRM uses technical and organizational measures designed to protect personal information, including encrypted transport, access controls, organization-based data separation, session controls, logging, and administrative safeguards, and takes reasonable steps to identify and address foreseeable internal and external risks to personal information in our possession. No method of transmission or storage is completely secure, but Securio CRM works to protect information against unauthorized access, loss, misuse, and alteration.

Third-Party Services

Securio CRM may integrate with third-party services such as authentication providers, Google Gmail, Google Calendar, payment processors, email providers, storage providers, analytics services, and AI providers, including Anthropic, Google, and OpenAI through Base44’s built-in AI integration. These services process data as needed to provide the features users enable or request. Securio CRM’s use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements.

Cookies and Tracking Technologies

Securio CRM uses cookies and similar technologies for authentication, session management, security, preferences, analytics, diagnostics, and application performance. Essential cookies are required for the service to function.

Your Rights as a Data Subject (POPIA)

Under POPIA, you have the right to be notified that personal information about you is being collected, to access personal information we hold about you, to request correction or deletion of personal information that is inaccurate, irrelevant, excessive, out of date, incomplete, or misleadingly obtained, and to object to processing of your personal information on reasonable grounds, including for direct marketing purposes. You also have the right to lodge a complaint with South Africa's Information Regulator if you believe your personal information has been processed unlawfully. Account deletion and privacy requests can be initiated through Securio CRM support or account settings where available.

Data Retention

Securio CRM retains information for as long as needed to provide the service, comply with legal obligations, resolve disputes, maintain security, preserve audit logs, and enforce agreements, consistent with POPIA's requirement that records not be kept longer than necessary for the purpose they were collected. Some records may be retained in limited form for compliance, fraud prevention, backup, or legitimate business purposes.

Children's Privacy

South African law defines a child as a person under the age of 18. Securio CRM is not intended for use by children, and we do not knowingly collect personal information from children without the consent of a competent person (such as a parent or legal guardian), as required by POPIA. If we learn that a child's personal information has been provided without the required consent, we will take appropriate steps to delete it.

Cross-Border Transfers

Securio CRM and its infrastructure or service providers may process personal information outside South Africa, including in the United States, where Base44 and certain AI or infrastructure providers operate. Where personal information is transferred across South Africa's borders, Securio CRM takes steps consistent with POPIA section 72, including relying on providers subject to laws, binding agreements, or codes of conduct that provide an adequate level of protection substantially similar to POPIA, or obtaining consent where required.

Changes to this Policy

Securio CRM may update this Privacy Policy from time to time. Material changes will be communicated through the application or other appropriate means. Continued use of Securio CRM after an update means you accept the revised policy.

Users who sign in with Apple Hide My Email or a private relay address should submit requests using the email address shown on their Securio CRM account so Securio CRM can verify the request.
